How to Add Bulk Users in Google Workspace 2026 Easily

By Impran M N

Adding accounts one at a time in the Admin Console is fine for a single new hire, but it falls apart the moment you're onboarding a whole department or migrating a company onto Workspace. Google's answer is a CSV-based bulk upload built directly into the admin console — no third-party tool required. This guide walks through signing in as a super admin, finding the right corner of the console, filling out the CSV correctly, and confirming the import actually landed before you tell anyone their account is ready.

01Sign in with a super admin account

Bulk operations are gated behind admin permissions, so the first step is authenticating with an account that has super admin rights on the domain — not a regular user login. Google will ask for the password and may add a verification step depending on your domain's security settings. If you're managing the account for a client or employer, make sure you're using the actual admin address (something like admin@yourdomain.com) rather than a personal Gmail, since a standard account simply won't see the admin console option at all.

02Find your way to the right section of the Admin Console

Once you're in, the console opens with a left-hand sidebar organized into Directory, Devices, Apps, Security, and more — Directory is where Users, Groups, and Organisational units all live. It's easy to end up on the wrong list at first, since Groups and Users sit right next to each other in the same menu and both support a similar bulk-CSV workflow. Take a second to confirm you're under Directory → Users before you start uploading, especially if your organization also manages mailing groups through the same console, since the two bulk-upload dialogs look nearly identical.

03Download the CSV template and fill it in

Rather than guessing at a file format, download Google's own CSV template from the bulk upload panel — it already has the correct column headers for first name, last name, username, and password, plus optional fields like organizational unit. Fill in one row per new user, keeping usernames and any characters in names consistent with what Workspace accepts, since a single malformed row can stop that row from importing while the rest proceed normally. Save the file as a plain CSV, not as an Excel workbook, or the upload will reject it outright.

04Attach and upload the CSV file

Back in the admin console, open the bulk upload dialog, which gives you an option to attach your completed CSV directly or download a fresh template and a sample members list if you want to double check the expected format first. Click Attach CSV, select your finished file, and hit Upload.

Google Workspace processes every row in the background and will flag which ones succeeded and which failed, rather than aborting the whole batch over one bad entry. This same dialog structure — attach, review, upload — is what you'll see whether you're bulk-adding standalone user accounts or, as pictured here, bulk-adding members to an existing group, so the mechanics carry over even if the destination list is different.

05Verify every account came through cleanly

After the import finishes, go back to the Users list and check the count against how many rows you submitted. Google Workspace surfaces any rows that failed to import — usually because of a duplicate username, a missing required field, or an invalid character — so you can fix just those entries and re-upload a smaller file rather than starting over. It's worth opening a couple of the new accounts individually to confirm the organizational unit and any group memberships landed where you expected, since a wrong OU early on can mean the wrong policies and app access silently apply to that user.

FAQ

Frequently asked questions

Is there a limit to how many users I can add in one CSV upload?

Google Workspace supports bulk uploads of hundreds of users per file, though very large organizations may need to split imports into multiple batches to keep any failed rows easy to isolate and fix.

What happens if a row in my CSV has an error?

The Admin Console flags rows with formatting or data errors after processing so you can correct and re-upload just those entries, rather than redoing the whole file.

Do bulk-added users need to change their password on first login?

You can require a password reset on first sign-in as part of the CSV import, which is standard practice so new hires never end up on a password an admin chose for them.

Can I use bulk import to update existing users instead of just adding new ones?

Yes — the same bulk upload tool in the admin console supports updating certain fields for existing accounts, not just creating new ones, using a similarly formatted CSV.
