How to Add Users in Freshdesk

Getting a new hire into Freshdesk isn't a long process, but knowing exactly where the invite flow lives saves you a hunt through settings. Freshdesk surfaces it right from the dashboard's Quick start checklist as well as from the admin area, and the invite dialog itself is short: an email, a role, and an Invite button. This guide follows that actual flow so you can see the dialog as it appears and understand what the Role field controls before you send anything.
01Find the invite prompt in Quick start
New Freshdesk accounts show a Quick start checklist on first login, walking through three steps to get the support desk ready: connecting support channels, exploring your inbox, and inviting your team. The third card, "Invite your team," is built specifically for this — it explains that bringing your team in as agents lets them view tickets, get assigned work, and collaborate on customer replies. Clicking through it opens the same invite dialog you'd reach from the admin area later.

02Fill out the Invite Agents dialog
The dialog itself is titled Invite Agents and is deliberately minimal: an Email field, a Role dropdown defaulting to Agent, and a small note reminding you that agents and roles are managed from Admin > Agents afterward. Type the person's email address, leave the role as Agent for a standard support seat or open the dropdown to pick something else if your account has custom roles configured, then click Invite. An Add link below the first row lets you queue up several people before sending anything, so you don't have to repeat the whole flow for each new hire.

03Understand what Role controls
The Role dropdown isn't cosmetic — it determines what the new user can see and do once they log in. A standard Agent role can work tickets, reply to customers, and see the queues they're assigned to, while higher roles typically add access to admin settings, reporting, or the ability to manage other agents. If you're not sure which role someone needs, start narrower rather than wider; it's easier to grant more access later than to walk back permissions after someone's had broad access for a while.
04Distinguish agents from customer contacts
Everything in the Invite Agents dialog is for internal team members who will work inside Freshdesk. Customers who submit tickets become contacts automatically the first time they email in or fill out a form — you don't invite them the same way, and they don't count against your agent seat limit. If you need to add a contact manually, that's a separate flow under the Contacts section rather than Admin > Agents, and it's worth not conflating the two when you're setting up a new account.
05Confirm the invitation and follow up
After you click Invite, Freshdesk sends an email to each address you entered with a link to set a password and finish account setup. New agents won't show up as fully active until they accept, so if someone doesn't appear in your team list after a day or two, check with them directly — the invite may have landed in a spam folder rather than failed outright. You can resend an invitation from Admin > Agents if needed, without creating a duplicate seat.
