Squinting at small email text doesn't have to be a daily habit. Outlook has more than one way to fix it, and which one you want depends on whether you need a quick temporary bump or a setting that holds across every message you open. This guide covers the fastest options: a magnification slider built into the Reading Pane, the Ctrl+scroll wheel shortcut, the View tab's Zoom dialog for an exact percentage, and the checkbox that makes a chosen zoom level stick, which only appears for Microsoft 365 subscribers.
01Zoom the Reading Pane without opening a menu
Two methods need no ribbon at all. Click into a message's Reading Pane, hold Ctrl, and scroll: up to zoom in, down to zoom out.
Or use the magnification slider in the Reading Pane's bottom-right corner and drag it left or right. Both apply instantly and both are temporary.
Move to the next message and the zoom returns to 100%, because this control only affects whichever item is currently showing, not the app as a whole. Ctrl plus the plus or minus keys do the same job if you'd rather not use a mouse wheel.
02Set an exact percentage from the View tab
For something more precise, or a change that can persist, the tool sits on the View tab, in the ribbon's Layout section, next to Ribbon, Folder pane, Reading pane, and Density. Click Zoom and a small dialog opens with preset percentages plus a field for a custom value between 10% and 500%.
Pick one, or type an exact number, and click OK. It's easy to miss if you're used to looking on the Home tab, since Zoom isn't part of the default Home ribbon in the inbox view.
03Set it again for messages opened in their own window
Double-clicking an email opens it in a separate window with its own Message tab, and that tab carries its own Zoom button in a group on the right side of the ribbon. It's a distinct control from the inbox-level Zoom on the View tab: adjusting one doesn't touch the other.
Read mostly in the shared Reading Pane but occasionally pop a message open to reply? Expect to set the zoom in both places at least once.
04Make the level stick, if your subscription allows it
Open the View tab's Zoom dialog again and look for Remember my preference, next to the current percentage. Checking it before clicking OK turns a one-time adjustment into a persistent one, applied to every message you open afterward.
This checkbox is a Microsoft 365 feature. Running a one-time-purchase copy of Outlook instead of a subscription means it may not appear at all, and the zoom will keep resetting no matter how carefully you set it through the proper dialog.
When it doesn't work
Zoom keeps resetting to 100% on every new message
Why: Remember my preference wasn't checked in the View tab's Zoom dialog, or the account is running a non-subscription copy of Outlook, where that checkbox doesn't appear at all.
Fix: Check the box in View > Zoom while signed into a Microsoft 365 account. Without a subscription, there's currently no setting that makes the zoom persist automatically.
Can't find the Zoom command at all
Why: It sits in the View tab's Layout section, not on Home or Message, which is where most of the ribbon tools people reach for daily tend to live.
Fix: Switch to the View tab first, then look next to Reading pane and Density.
A message opened in its own window didn't pick up the zoom set in the inbox
Why: The inbox Reading Pane and a message's own window have separate Zoom controls that don't sync with each other.
Fix: Set the zoom again from that window's Message tab. It only needs doing once per window layout you use regularly.
