In Trello, a guest is anyone who belongs to a board but not to the Workspace that owns it. You don't create guests with a separate setting.
Invite someone from outside your Workspace to a single board and Trello treats them as a guest automatically: they see that board and nothing else. This guide walks through the Share dialog, the invite link, and the role dropdown.
It also covers two limits that trip people up. The read-only Observer role exists only on Premium and Enterprise Workspaces, and on the free plan every guest counts toward a hard cap of 10 collaborators.
01Open the board and click Share
Go into the specific board you want to open up and click Share in the top-right header, next to the member avatars. This control only affects the board you're on.
Nobody you invite from here gets access to your other boards. If there's no Share button, the board is set so that only admins can add people. A board admin can change that under the board menu's Settings, or send the invite themselves.
02Enter their username or email
The Share board dialog opens with a text field, a role dropdown beside it, and the blue Share button. Type a name, Trello username or email address.
You can queue several people in the same field before sending. For someone who doesn't have a Trello account yet, use their email.
They receive an invitation to sign up, and Trello treats their role as provisional until they verify the new account. Below the field, the Board members tab lists who already has access, and Join requests holds anyone who has asked to be let in.
03Choose Member or Observer, then send
Set the dropdown before you click Share. Member is the default: a normal board member can see and edit every card on the board.
That suits a freelancer doing the work. Observer is the read-only option.
Observers can view cards, comment and vote (where the board allows it), download attachments and export the board. They can't move or edit cards, upload files or tick checklist items.
Trello only offers Observer on Premium and Enterprise Workspaces, so on a free or Standard plan the dropdown won't show it and your only choice for a client is full Member access. Admin isn't offered at invite time. Add the person as a Member first and promote them afterwards if they need it.
04Or invite with a shareable link
Under the input field is the link option. Create a link, pick whether it lets people join as a member or as an observer (observer again needs Premium or Enterprise), then use Copy link to grab it.
The Change permissions dropdown switches the role the link grants. Anyone holding the link joins automatically, including people it gets forwarded to.
Every one of them counts toward the free plan's collaborator limit. Once your guests are in, click Delete link and confirm with Delete share link. A link also stops working if the person who created it is removed from the board or Workspace.
05Check, change or remove access later
Reopen Share and look at the Board members tab. It shows everyone on the board and their role.
To change a role, open the dropdown beside the person's name and pick a new one. The same menu is where you take someone off the board.
Only board admins can remove people. Removing a guest from their only board removes them from your Workspace's collaborator count too, which is the usual fix when a free Workspace hits its limit.
When it doesn't work
There's no Share button on the board
Why: The board's settings allow only admins to add and remove members, and you aren't a board admin.
Fix: Ask a board admin to send the invite, or to switch the add/remove members setting to All members under the board menu's Settings.
Observer isn't in the role dropdown
Why: The Observer role is a Premium and Enterprise feature. Free and Standard Workspaces only offer Member.
Fix: Invite the person as a Member, or upgrade the Workspace to Premium if read-only access matters for this client.
Every board suddenly went view-only after inviting someone
Why: The free Workspace passed 10 collaborators. Guests, Workspace members and pending invitations all count. Boards turn view-only, new people can't be added, and automations stop.
Fix: Remove collaborators (closed boards and deactivated accounts don't count) until you're at 10 or fewer, or move the Workspace to a paid plan, which has no collaborator cap.
Frequently asked questions
Will a guest see my other boards?
No. A Workspace guest can only see the boards they've been invited to. The rest of the Workspace stays hidden from them.
Can I make a guest read-only on the free plan?
No. The Observer role is only available on Premium and Enterprise Workspaces. On free and Standard, anyone you invite joins as a Member and can edit cards.
Do guests count toward the free plan's limit?
Yes. Free Workspaces allow 10 collaborators in total, and that includes single-board guests, multi-board guests, Workspace members and pending invites.
Do I pay for guests on a paid plan?
Not for a guest on a single board. A guest on two or more Standard or Premium boards is a multi-board guest and takes a paid seat like a normal member.
Is it safe to leave a shareable link active?
Anyone with the link can join, even if it was forwarded to them. Delete the link from the Share dialog once the people you intended have joined.
Sources and last check
Screens and the Share dialog click path come from the original screen recording. Roles, link behaviour, guest billing and the free-plan collaborator limit were re-checked against Atlassian's official Trello support documentation in September 2026.
