How to Upload Receipts in QuickBooks Online Easily 2026

By Impran M N

Chasing down paper receipts at tax time is a hassle QuickBooks Online is built to eliminate. Its Receipts dashboard reads uploaded images and PDFs automatically, pulling out vendor names, dates, and totals so you don't have to type them by hand. Here's how to get your receipts into the system and matched to your books.

01Open the Receipts dashboard

From the left sidebar, go to Expenses and select the Receipts tab to see your upload options.

02Upload directly or drag and drop

Click Upload from computer or drag receipt files straight into the upload zone to start processing.

03Set up email forwarding

Use the Manage forwarding email link to get your dedicated receipt inbox address, then forward supplier invoices there to route them automatically.

04Let the extraction engine work

QuickBooks reads the document and pulls out vendor, date, and total details, placing the result in the For Review queue.

05Review and match

Open the processed receipt, verify the extracted fields, assign the correct expense category, then match it to an existing bank transaction or save it as a new one.

FAQ

Frequently asked questions

What file types can I upload as receipts?

QuickBooks accepts common image formats and PDFs, so photos taken on a phone or scanned documents both work.

What if the extracted data is wrong?

You can edit any field manually in the review screen before saving, so an inaccurate read never has to make it into your books.

Does uploading a receipt automatically create a transaction?

Not immediately — it sits in the review queue until you either match it to an existing transaction or create a new expense from it.

Is there a limit to how many receipts I can forward by email?

The video doesn't specify a hard cap, but the forwarding address is designed for regular ongoing use, not just one-off uploads.
