By Impran M N

An accidentally deleted invoice or expense doesn't have to be a permanent loss. This guide shows how to use QuickBooks Online's Audit Log to find the exact details of a deleted transaction and rebuild it in your books.

01Open the Audit Log

Click the gear icon in the top right and select Audit Log to open the system history.

02Filter for deleted transactions

Click Filter, set your target date range, and select Deleted/Voided Transactions under the Events row.

03Apply the filter

Click Apply to narrow the log down to your timeline of interest.

04Review the transaction details

Click View next to your lost transaction to expand the audit history and see original debit and credit rows.

05Rebuild the transaction

Open a matching blank form, such as an Invoice or Expense, and re-enter the date, category, and amount from the audit log, then save.

FAQ

Frequently asked questions

Can QuickBooks automatically restore a deleted transaction?

No, there's no one-click restore; you use the Audit Log to view the original details and manually re-enter the transaction.

What information does the Audit Log show for deleted transactions?

It shows details like item descriptions, classes, tax rates, dates, and the exact debit and credit accounts used.

How far back does the Audit Log go?

It generally covers your account's full history, though you'll want to set date filters to narrow your search.

Should I void instead of delete transactions going forward?

Voiding keeps a visible record while zeroing out the financial impact, which can simplify future reconciliation compared to permanent deletion.
