By Impran M N

Not every transaction shows up right away on your bank feed, and sometimes you'd rather log a charge at the point of sale. This guide shows how to manually enter an individual credit card transaction into QuickBooks Online.

01Open a new expense

Click + New, then select Expense from the Vendors column.

02Select the payee

Choose the merchant profile from your live directory.

03Choose the payment account

Set Payment Account to the correct credit card liability account and select Credit Card as the payment method.

04Categorize and enter the amount

Select the correct expense category and key in the transaction amount.

05Attach a receipt and save

Drag a digital receipt into the attachment area, add a memo for the project or purpose, then click Save and Close.

FAQ

Frequently asked questions

Why manually enter a card transaction instead of waiting for the feed?

Manual entry keeps your ledger up to date immediately, which is useful if you want real-time tracking or if the charge hasn't appeared on your feed yet.

What happens if this transaction later appears in my bank feed?

You'll want to match the incoming feed line to your manual entry instead of adding it as a new transaction to avoid duplicates.

Can I attach a receipt to a manual entry?

Yes, you can drag and drop a scanned receipt or PDF directly into the attachment workspace on the expense form.

Do I need to select the exact card used?

Yes, choosing the correct credit card liability account keeps your card balances accurate.
