How to Export Data From QuickBooks Online to Excel Easily 2026

By Impran M N

Whether you're prepping for tax season, running a deep-dive analysis, or building a custom pivot table, QuickBooks Online can push your reports and master lists straight into Excel without messy copy-paste formatting. This guide covers both exporting individual reports and bulk-downloading entire data lists.

01Open a financial report

Go to Reports from the sidebar and search for a statement like Profit and Loss or Balance Sheet to open its grid view.

02Set your date range and method

Use the customization ribbon to set the reporting period and choose between Cash and Accrual before running the report.

03Export to Excel

Click Export/Share in the upper right of the report, then choose Export to Excel to download a formatted spreadsheet.

04Export master lists

For bulk data like Customers, Vendors, or the Chart of Accounts, click the Gear icon and select Export Data under Tools.

05Verify the download

Open your Downloads folder to confirm the file unzipped correctly and that the data parses cleanly inside Excel.

FAQ

Frequently asked questions

Can I export more than one report at a time?

Individual reports export one at a time, but the master list export tool lets you batch-download multiple list types like customers and vendors together.

Will my custom report filters carry over to the Excel file?

Yes, whatever date range and customization settings you applied before running the report are reflected in the exported spreadsheet.

Why did my browser block the download?

Some browsers block automatic downloads by default — check your popup or download settings if the export doesn't appear.

Does the export preserve formatting like bold totals?

QuickBooks aims to keep multi-row nested formatting intact when exporting, so totals and subtotals typically carry over.
