By Impran M N

A mistake on a sent invoice doesn't mean you have to start over. This guide shows how to locate, edit, and correct a live invoice in QuickBooks Online, from fixing line items to updating discounts and tax, then resending the corrected version.

01Locate the invoice

Go to Sales, then Invoices, and use the search bar or date filters to find the target document.

02Open it for editing

Click the Edit option in the Action column next to the invoice you want to change.

03Update customer and terms

Adjust the billing address, payment terms, or invoice date in the header fields if needed.

04Correct line items

Scroll to the Product/Service table and rewrite descriptions, quantities, or rates to let QuickBooks recalculate subtotals.

05Adjust discounts and tax, then resend

Apply any discounts or tax changes at the bottom, add a note explaining the correction, and click Save and Send to deliver the updated invoice.

FAQ

Frequently asked questions

Can I edit an invoice that already has a partial payment applied?

You can, but it's important to review carefully since changing amounts on a partially paid invoice can create balance discrepancies.

Will editing an invoice notify my client automatically?

No, you need to click Save and Send to resend the corrected version so the client sees the updated document.

Can I change the tax calculation on an existing invoice?

Yes, adjusting quantities, rates, or tax toggles in the summary section will let QuickBooks recalculate the tax automatically.

Should I tell the client what changed?

It's good practice to add a note in the message box explaining the correction before resending.
