By Impran M N
Duplicate entries or mistaken transactions can throw off your reconciliations if left uncorrected. This guide shows how to locate and delete a transaction in QuickBooks Online, when voiding is the safer choice, and how to confirm the removal in your Audit Log.
01Locate the transaction
Go to Transactions, then Chart of Accounts, select the relevant register, and click View Register, or use the Search tool to filter by transaction type.
02Open the transaction form
Click the row to expand its details, then click Edit to open the original entry.
03Choose delete or void
In the More options drawer at the bottom, decide whether to Delete the entry entirely or use Void to preserve the record while zeroing it out.
04Confirm the action
Click Yes on the confirmation prompt to let QuickBooks recalculate your account balances.
05Check the Audit Log
Open the Audit Log from the gear icon to verify the deleted or voided transaction is indexed for compliance.
Frequently asked questions
What's the difference between deleting and voiding a transaction?
Deleting removes the transaction entirely, while voiding keeps a record of it but zeroes out its financial impact, which is often safer for reconciled entries.
Can I recover a deleted transaction?
You can find its details in the Audit Log and manually re-enter it, but the original transaction itself cannot be restored automatically.
Will deleting a transaction affect my reconciliation?
Yes, deleting a previously reconciled transaction can throw off your reconciled balance, so review carefully before deleting.
How do I confirm a transaction was deleted?
Check the Audit Log, which tracks all deleted and voided transactions along with who made the change.
