How to Categorize Credit Card Transactions in QuickBooks Online Easily 2026

By Impran M N

Downloaded card transactions still need review before they belong on your books. This guide covers how to use QuickBooks Online's bank feeds to match, categorize, and split credit card charges accurately, plus how to automate the process with rules.

01Open your bank transactions feed

Go to Transactions, then Bank Transactions, and select your credit card account to see the For Review queue.

02Match existing entries

For rows with a green Match indicator, click Match to link the downloaded charge to an existing bill or receipt.

03Categorize unmatched charges

Click an unmatched row, choose the payee, and select the correct expense category from the dropdown.

04Split mixed transactions

Use the Split option to divide a single charge across multiple expense categories when a purchase covers more than one thing.

05Add and automate

Click Add to post the categorized transaction, then use Create rule from this transaction to auto-categorize similar future charges.

FAQ

Frequently asked questions

What does the green Match bar mean?

It means QuickBooks found an existing entry, like a bill you already recorded, that matches the downloaded transaction.

Can I split one charge across multiple categories?

Yes, use the Split button on a transaction row to divide the amount across several expense accounts.

How do I stop having to categorize the same vendor every time?

Create a bank rule from a categorized transaction so QuickBooks automatically applies the same category to future charges from that vendor.

What if I categorize something incorrectly?

You can reopen the transaction from your register and change the category or payee at any time.
