How to Capture and Manage Receipts in QuickBooks Online Easily 2026
By Impran M N
Piles of paper receipts don't need to turn into hours of manual data entry. QuickBooks Online's Receipts workspace uses OCR to read uploaded images or forwarded emails, pulling out vendor names, dates, and totals automatically, then lets you match them straight to your bank feed. This guide covers the full capture-to-match workflow.
01Open the Receipts dashboard
Go to All Apps or Transactions, then select Receipts to reach your upload center.
02Upload or forward a receipt
Drag a local image or PDF into the upload zone, or forward an email invoice to your dedicated receipt email address.
03Let the OCR engine process it
Wait for the extraction engine to read the document, then click the row to open the split-screen review panel.
04Verify the extracted data
Check that the vendor name, transaction date, and total match the receipt, then choose the correct expense category.
05Match or create the transaction
Click Match if QuickBooks finds an identical bank feed line, or Create Expense to log a brand-new transaction if it hasn't been recorded yet.
Frequently asked questions
How accurate is the automatic data extraction?
It reads merchant names, dates, and totals reasonably well, but you should always verify the extracted fields against the original receipt before saving.
What's my dedicated receipt email address for?
Forwarding invoices to that custom address automatically routes them into your Receipts queue without a manual upload.
What happens if a receipt doesn't match an existing bank transaction?
You can click Create Expense to log it as a brand-new transaction if it hasn't already been recorded in your books.
How do I confirm my receipts are properly attached to transactions?
Check the Categorized tab to verify that extracted files are securely pinned to their corresponding ledger entries.
