How to Add Expense Categories in QuickBooks Online Easily 2026
By Impran M N
As your business grows, your default expense categories may not cover every type of cost you're tracking. This guide covers creating a new expense account in your Chart of Accounts, choosing the right detail type, and nesting it as a sub-account if needed. It's for business owners customizing their categories ahead of tax season or expanded reporting needs.
01Open the Chart of Accounts
Go to Transactions, then select Chart of Accounts to reach your full account directory.
02Start a new account
Click New in the upper right corner to open the account configuration panel.
03Choose account and detail type
Select Expenses as the Account Type, then pick the specific Detail Type that best matches the tax classification for this category.
04Name and nest the category
Type a clear name for the category, and check Make This a Sub-Account if it should sit under a broader parent expense line.
05Add a description and save
Include an internal note describing what belongs in this category, then click Save to add it to your chart.
Frequently asked questions
What's the difference between Account Type and Detail Type?
Account Type is the broad classification like Expenses, while Detail Type narrows it down to a specific tax-line category within that group.
Can I turn an existing category into a sub-account later?
Yes, you can edit an existing account and check the sub-account box to nest it under a parent category.
Will adding a new category affect past transactions?
No, new categories only apply going forward; past transactions stay coded to whatever category was originally used.
How do I make sure my new category shows up on forms?
Test it by creating a new expense or checking your bank feed rules to confirm the fresh category appears in the dropdown lists.
