How to Edit Status in ClickUp, Change & Customize it Easily 2026

By Impran M N

Default status names like 'To Do' and 'In Progress' don't always match how your team actually talks about work. This guide covers renaming existing statuses, adding brand-new stages, and reordering them to reflect your real delivery pipeline, whether that's for an entire Space or just one specific List.

01Open Space Settings

Hover over a target Space in your sidebar, click the three-dot settings icon, and select Space Settings.

02Go to Task Statuses

Inside Space Settings, open the Task Statuses panel to view your current pipeline stages.

03Rename an existing status

Hover over a status row and click the pencil icon to safely rename it, such as changing 'To Do' to 'Backlog'.

04Add a new status

Click '+ Add Status' to inject a completely new stage into your workflow, useful for tracking review or QA steps.

05Reorder your statuses

Use the drag handles on the left side of each row to arrange statuses into the correct chronological sequence.

06Save and apply overrides at the List level

Click Save Changes to update the Space, or navigate into a specific List to apply a distinct local status override.

FAQ

Frequently asked questions

No, renaming a status just updates the label; tasks already in that stage stay there under the new name.

Can one List have different statuses than the rest of the Space?

Yes, you can apply a local status override to a specific List to give it its own unique tracking structure.

What happens if I delete a status that tasks are using?

You'll typically be prompted to move those tasks to another status before the old one can be fully removed or archived.

Do status changes update the Kanban board automatically?

Yes, once you save your changes, the Kanban board view reflects the updated columns immediately.
